Events & Meetings

STEP 1 - Plan my event

The Staff of CrossWinds Church wants to help you be successful in planning and executing your event.  Every event at CrossWinds should align with our mission to GROW with Jesus and GO to our worlds. Before moving forward, consider how your event meets this mission. 

*please note - NEW event types must be approved by Staff and Elders before it will move forward through Steps 2-5 .
When a request is received for NEW event types, Staff will discuss the event to assess for vision-centered focus and resources required. The Staff assigned to that ministry will contact the requester, if questions arise. 

step 2 - add to calendar/request a room

Let us know about your event/meeting by completing the Event/Meeting Notification Form.  Note - ALL events and meetings (even those held offsite) must be added to the calendar -- no room will be reserved or event added to calendar without this form.


HELPFUL INFO​:
​We have 2 calendars - PUBLIC and STAFF

PUBLIC - includes events/activities open to everyone - Calendar is easily accessible to anyone with internet access

STAFF - includes all items on public calendar PLUS items not pertinent to public, but help Staff stay on track with ALL upcoming activities (ex: staff vacations, closed meeting reservations, etc...) 


step 3 - promote the event (publicity)

Let's get the word out for your event to ensure success! The first step here is to complete the Publicity/Promotions Form. 

Helpful Info:
*The deadline to submit requests for promotion/publicity is Tuesday prior to the first Sunday promotion. Note - additional delays may be incurred if request is incomplete or requires assistance in creating a promotional image.

*Events/Meetings will run for 3-4 weeks prior to the event/meeting. When warranted, a "save-the-date" type of announcement will be done 1x/month until the 3-4 week threshold is reached.

​*Events/Meetings which effect < 10 people will not be promoted. Event/Meeting Leaders should contact those involved

Step 4 - FUNDRAISING

Does your event require donations? This includes more than money. It may be candy, clothing, canned goods, bottled soda, or any number of things. If you are requesting donations of ANY kind from the congregation, please complete the Fundraising Form.​ 

Step 5 - DEBRIEF

Congratulations, you made it through your event! Now, it's time to get your team together one last time.

Here's why:
1. Celebrate the team - Always remember to thank everyone for their time and effort.
2. Discuss details - What went well? What didn't go so well? What suggestions would you have for next time?

Once you meet, complete the Debrief Form. You can even do this while you talk. 

S.M.A.R.T. Goals

S.M.A.R.T. Goals is a tool used to keep us on target with benchmarks we set that allow us fulfill our vision to GROW with Jesus and GO to our worlds.

What does S.M.A.R.T. stand for? 
S-pecific (simple, sensible, significant)
M-easurable (meaningful, motivating)
A-chievable (agreed, attainable)
R-elevant (reasonable, realistic and resourced, results-based)
T-ime bound (time-based, time limited, time/cost limited, timely, time sensitive)

Staff will work with Directors to set goals annually, then review as needed to ensure set goals are reached. Need help setting your S.M.A.R.T. Goals? Contact the Staff assigned to support you in your ministry.
